Business Office Manager
Description: Pivot Engineers is a small team of dynamic problem solvers. Our forensic engineers tackle structural challenges with existing infrastructure, and we are looking for a Business Office Manager to integrate with and support our team. Our Business Office Manager would be encouraged to also become a dynamic problem solver by seeking and taking responsibility for the operations and administrative side of Pivot.
Responsibilites:
Ensure daily, weekly, and monthly financial responsibilities are completed with detail
Assist with invoicing, timesheets, expenses, payroll
Coordinate with others for Accounting, Finance, Information Technology, and Human Resources
Review and edit technical documents including project reports and presentations
Work cooperatively with all employees, management, external agencies, and clients
Maintain company and personnel files
Support engineering team (i.e., arrange travel, etc.)
Continuously improve systems and processes
Qualifications:
Candidates preferably have one year full time or two years part time experience
Bachelor’s degree in English, communications, marketing, business, or similar field of study preferred
Strong organizational skills with exceptional attention to detail
Strong interpersonal skills with the ability to interact effectively with persons of varying personality types and position levels
Proactive approach to problem-solving and eagerness to take on a variety of tasks
High capacity for learning, retaining new information, and independently executing processes
Proficient in Microsoft Office and Google applications - Word, Excel, PowerPoint, Google Docs and Google Sheets
Familiarity with time/expense/invoicing software and on-line meeting tools
Ability to multi-task, prioritize effectively, and meet deadlines in a dynamic environment
Strong oral and written communications skills
Ability to handle confidential information and sensitive legal situations
Ability to provide three references
Ability to pass a background check
Location and Hours: The position is being offered as a full-time position working in our Austin office at least 50% of the time.
Salary and Benefits: There is an annual salary range of $50,000 to $60,000 depending on experience and qualifications, with opportunities to earn performance bonuses. We provide medical, dental, and vision insurance coverage. Other benefits include a health savings account, short-term disability, long-term disability, and workers’ compensation insurance, 401k and Roth 401k Plans with employer match, three weeks of paid leave time per year, and paid holidays (9 total).
